Introduction |
|
| |
The most crucial factor
of the success of the AUN/SEED-Net Project is how each Host Institution
could recruit sufficient number of very qualified students from other
Member Institutions, who are interested in carrying out thesis research
from one of these research themes under Collaborative Research Program.
The AUN/SEED-Net Project will thus provide Host Institutions an opportunity
to visit potential Sending Institutions to recruit such students. |

Terms
of Reference |
|

The participants of the trips must
be faculty members of Host Institutions who
are directly involved in thesis research supervision of AUN/SEED-Net
students under the framework of Collaborative Research with Japanese
Supporting Universities . They should make presentation at each
destination Member Institution on
the following points and should leave the e-file for future reference: |

Explanation of each Collaborative
Research Theme and its (on-going and future) research topics
as well as names of collaborators from Japanese Supporting Universities
under which recruited students will work on their thesis research. |

It is encouraged for Host Institutions
to give presentation to undergraduate and graduate students
of destination institutions. The
application form for admission and the application form for AUN/SEED-Net scholarships along with
its Implementation Guidelines should be distributed to them.
Host Institutions should also take the opportunity to interview
some of the applicants of
Master’s and Doctoral
Degree Sandwich Programs |

Financial
Support |
|
| |
In accordance with the cost-sharing
principle, AUN/SEED-Net Project will support only the following limited
items: |
|

| (1) |
Economy-class discounted air tickets. |
| (2) |
Airport tax, fiscal tax (Indonesia only),
travel tax (Philippines only) |
| (3) |
Accommodation according to the rate of the
AUN/SEED-Net Project (USD90) |
| (4) |
Travel insurance (USD 30/person/trip)
The AUN/SEED-Net will provide only the support for travel
insurance fee. Applicants must take responsibility for any
accident or sickness during the visit to Member Institutions.

The AUN/SEED-Net
Project does not support other expenses such as local transportation
costs in the destination countries or daily allowances. Host
institutions or destination institutions are expected to share these
expenses. |

Outline
of Implementation |
|

| (1) |
Total duration & participants: Total 36
person-nights (e.g. 3 persons x 4 nights x 3 trips)
*Please note that the last trip should be completed before
February 15 of the next year. |

Number of destination countries: At least four
(4) countries |
| (3) |
Number of participants: Not more than three
(3) persons for each trip |
| (4) |
Trip arrangement: Host institutions and destination
institutions need to coordinate for the arrangement of the trip. |

Report submission: Host institutions are
required to submit a report of the trip to the AUN/SEED-Net
Project within two weeks after the end of the trip.

Process
of Implementation & Application Deadline |
|

| (1) |
Host Institutions intending to take a promotional
trip contact destination institutions to schedule the trip. |
| (2) |
Host Institutions fill in the attached
application form and submit it to the AUN/SEED-Net Project
with an official cover letter issued by the Dean. |
| (3) |
AUN/SEED-Net reviews the request and makes
necessary adjustments. |
| (4) |
AUN/SEED-Net remits the budget for accommodation
and airport tax to the designated account of each Host Institution. |
| (5) |
At the same time, AUN/SEED-Net arranges air
tickets for the participants as specified in the application
form and sends them to Host Institutions. |
| (6) |
AUN/SEED-Net sends a letter notifying the remittance
to Host Institutions. |
| (7) |
Host Institutions must submit the copy of insurance
policy to AUN/SEED-Net before the trip. |
| (8) |
Host Institutions take a promotional trip to
destination institutions. |
| (9) |
Host Institutions submit a trip report
to AUN/SEED-Net. No specific format is required. It is, however,
expected that the outcomes of presentation meeting, details
of the
Q&A sessions, comments/suggestions and a participant list
should be included.

Host Institutions should
fill in the attached
application form and submit it with an official cover letter from
the Dean or the Representative to the AUN/SEED-Net Project at
least three (3)weeks prior to the start of the trip. |
